8. Planned Maintenance Work Orders
Goal
Effective Planned Maintenance Tasks

This is probably the most difficult part of Workmate to comprehend, but it is really quite simple once you understand a few main points.

Workmate has a comprehensive Preventative Maintenance schedule function that allows you to create a range of Work Orders into the future as part of your Planned or Preventative Maintenance schedule.

This function operates by creating a PM Master Work Order or template of the planned maintenance work order you want to do at regular intervals. It is possible to alter individual PM work orders once they have been created, but to make a change to every PM work order in your future schedule you must make the changes at the PM Master level and regenerate the work order schedule. I trust that this is clear, as it is a little difficult to get your thinking around it if you are looking at this for the first time. Essentially, you make up a Master PM work order and then based on this master, you make copies of this master at any interval that you choose to specify.

If you want to make any changes to the PM work order, you need to go back to the master, make the changes, then recreate the copies of the master. If you use the Policy/Procedure section to detail text on your PM work orders you only need to go into the Policy/Procedure section and make the changes there. Workmate will automatically update all work orders that use that procedure without you needing to update your PM masters.

If you want to change the frequency of a PM task, you will need to go back to the PM Master for that task and change the frequency, then regenerate the schedule. Workmate does all the regeneration automatically, so all you need to do is make the change and press Create/Update PM Jobs.

Creating a Master PM Work Order

To create a Master PM Work Order:

  1. Press on the PM Setup button or
  2. Choose Application / PM Setup from the Menu Bar
  3. While the cursor is still in the PM ID field, type in a Work Order PM Master ID, as shown. This a unique ID which can be used only once in the system.
  4. There are eight character spaces available for PM Master ID codes
  5. Press the Tab key to move the cursor to the Title field. Type in a title for the Master Work Order.
  6. Once the appropriate details have been entered into the PM Master screen, you will need to specify when the PM Detail Work Orders are to be generated.
  7. To do this, press the Make PM Jobs button to the right of the screen. If you are creating a new Work Order or have altered the Master Work Order, the following message box will appear.
  8. Press Yes, and the preventative maintenance setup screen will open.

When the Make PMJobs button is pressed, the following Preventative Maintenance Setup screen will display.
PM Work Orders by Date

To create Cycle Date type PM Detail Work Orders:

  1. Tab to the Freq. (Frequency) field and type in a number.
  2. Select one of the Days, Weeks or Months option by clicking on the title.

    Days
    If you select the Days option, and have entered 5 in the Frequency field, Workmate will create a Detail Work Order every five days.

    Weeks
    If you select the Weeks option, and have entered 5 in the Frequency field, Workmate will create a Detail Work Order every five weeks.

    Months
    If you select the Months option, and have entered 5 in the Frequency field, Workmate will create a Detail Work Order every five Months.
  3. Type in a date in the Start Date field, or double click in the field to open the calendar. Select the date you want the first Work Order to be created.
  4. Leave the Close Date blank.
  5. Press the Create/Update PM Jobs button, and Workmate will create the PM Detail Work Orders. If you have selected a Days option, Workmate may take several seconds to complete the operation.
PM Work Orders by Meter

Workmate has a Cycle Meter Function that allows you to set PM Work Orders base on meter readings. Before making meter based PM Work Orders a meter must be setup for the asset you are making the PM Work Order for. Setup meters for assets in the Asset/Meter tab section or go to Application/Meter Setup from the main menu bar.

PM cycle meter master Work Orders are setup in the same way as cycle date Work Orders. When you have completed the details of the Work Order press the Make PM Work Orders button and the PM cycle meter function will open. It is still possible to set a PM Work Order up as a date based Work Order at this point. The By Meter tab option will not appear unless there is a meter associated with the selected asset. See the Workmate Manual for more information about using meters for scheduling PM work orders.

Summary
You should understand the concept of PM Master work orders and the work order schedule created from this master. You should be able to create a new PM Master, allocate Resources and Procedures to it. You should be able to set the frequency of work orders and create a schedule of Detail work orders based on the master.
